Campus-wide Technology Policies

The following policies are relevant to the Elon University community and should be reviewed by all faculty, staff and students on an annual basis.

Elon University provides a wide variety of computing, networking and other technology facilities in order to promote and support academic pursuits and the university’s strategic mission. By accessing and using university information, data and technology equipment and resources, all community members must agree to abide by the University’s security and compliance requirements.

The purpose of implementing access controls within a technology environment is to minimize the risk of unauthorized access to physical and logical systems, data and applications. This policy applies to the Elon University community including, faculty, staff, students, contractors, vendors and business partners that connect to servers, applications or network devices and impact Elon data and information.

Computer Lab Policy

Elon University provides computer labs across campus for use by faculty, staff, and students. Additionally, Campus Technology Support maintains and supports computers, supplies, and maintenance requests for these areas in support of the University’s mission. This policy applies to all users of Elon University computer labs.

By using University computers, users agree to abide by the guidelines listed below. Additional policies may also apply to specific labs (such as special research or project labs). Any questions regarding this and other policies should be addressed to the Assistant Vice President for Technology.

Data Breach Policy (new; pending approval)

Several industry guidelines and government compliance regulations mandate strict control of sensitive and personal data to avoid data breaches. There are specific requirements for reporting data breaches that impact FERPA, HIPAA, GDPR, PCI and HITECH related information and data. In addition, various state breach notification laws have reporting requirements when PII data is breached.

The purpose of this policy is to ensure that Elon’s electronic mail (email) services remain available to and reliable for the University community and are used for purposes appropriate to the University’s mission and strategic business objectives.

Hardware Requirements for Onboarding/Offboarding Policy

This policy applies to those University employees in supervisory positions. Supervisors are responsible for collecting new hire/employee information so the Technology Service Desk will be able to more effectively serve your needs.

This Information Security Policy provides a structure that documents the requirements to establish accountability and prudent practices regarding the use and security of Elon University’s information and technology resources. We are committed to protecting the privacy, confidentiality, and integrity of personally identifiable and other regulated information and data stored, processed and transmitted by members of the Elon community.

Elon students, faculty, and staff are welcome to use the Maker Hub. This policy outlines the conditions community members must following in order to use the Maker Hub in compliance with our rules and regulations.

Moodle Course Creation Policy

Elon University provides and maintains access to a learning management system (LMS) in support of the university’s mission. Moodle is the official LMS supported by the university. The course creation policy defines when courses are created within the LMS, course naming conventions, combining multiple courses, and alternative course enrollment methods.

Elon University provides and maintains access to a learning management (LMS) system in support of the university’s mission. Moodle is official LMS supported by the university. The data retention policy clarifies the lifespan of course shells and users in order to ensure optimal performance of the LMS.

Website Deployment Policy

The purpose of the Elon University World Wide Web Site is to provide an electronic information and communication service that will be of use to all the university’s constituencies. The site also serves as a critical academic resource, hosting class sites, course projects, student work, teaching resources and research projects. This policy describes how Information Technology and Elon Community members can deploy department and personal websites.
