Computer Lab Software Policy
1.0 Purpose
Elon University supports a wide variety of software applications in academic computer labs.
New software applications must be tested by Campus Technology Support and appropriate faculty members to verify proper operation and interaction with other installed applications. Then, an image must be created and cast to each lab computer before classes begin. Tight time lines make it nearly impossible to re-image traditional labs once classes have begun. However, computers labs utilizing virtual desktop technology have a more flexible installation schedule.
By using University computer labs, users agree to abide by the guidelines listed below. Additional policies may also apply to specific labs (such as special research or project labs). Any questions regarding this and other policies should be addressed to the Assistant Vice President for Technology.

Virtual Computer Labs

Requests for new software in virtual university labs must be presented to Campus Technology Support on or before the first Monday of the month for installation by the Last Friday of the same Month. Please submit all requests to spoe@elon.edu.
Traditional Computer Labs
Fall Semester
Requests for new software in traditional university labs must be presented to Campus Technology Support by June 1 of the same calendar year. All install files must be presented by July 1. Please submit all Windows requests to spoe@elon.edu and all Mac requests to mshepherd2@elon.edu.
Winter Term
Requests for software in traditional university labs AND the installation files themselves must be presented to Campus Technology Support by December 1 of the prior calendar year. Please submit all Windows requests to spoe@elon.edu and all Mac requests to mshepherd2@elon.edu.
Spring Semester
Requests for new software in traditional university labs must be presented to Campus Technology Support by December 1 of the prior calendar year. All install files must be presented by December 1. Please submit all Windows requests to spoe@elon.edu and all Mac requests to mshepherd2@elon.edu.
Summer Sessions
Requests for software in traditional university labs must be presented to Campus Technology Support by February 1 of the prior calendar year. All install files must be presented by May 1. Please submit all Windows requests to spoe@elon.edu and all Mac requests to mshepherd2@elon.edu.
3.2 Guidelines
Software must be compatible with existing lab software and MUST include manufacturer’s support. Technicians from Campus Technology Support can assist in determining whether software is compatible or not.
The labs in which the software is to be installed must be declared at time of presentation.
The initial software purchase MUST include enough licenses for ALL computers in any given traditional lab where the software is to be installed. Software purchased for virtual labs must include enough concurrent licensing to meet the particular demands of classes utilizing the application.
Written documentation MUST be provided to verify software licenses. Elon University strictly adheres to all copyright laws. (NO EXCEPTIONS)
DOS based software may not be compatible with existing applications. If it is not compatible, it may not be possible to install the software in the labs.
No shareware will be installed unless there is manufacturer’s support.
Only one version of any software package may be installed at any given time. Older and newer versions installed together may cause conflicts.
Please verify that Elon University does not already own a software package that meets your needs. Purchasing multiple software packages that essentially do the same thing uses up valuable resources.
