Zoom Data Retention Policy
1.0 Purpose
Elon University provides and maintains access to video recording software in support of the University’s mission. Zoom is one of the video recording platforms supported by the University. This policy clarifies the lifespan of recordings saved to the Zoom cloud to ensure optimal performance of Zoom and the data storage limits outlined in our Zoom contract.
2.0 Scope
This policy applies to all individuals with active, university sponsored Zoom accounts (faculty, staff, and students).
This policy applies to recordings stored on the Elon Zoom platform (elon.zooom.us), including meetings and webinars.

4.0 Policy Statements
- Effective June1, 2021, Zoom cloud recordings will only be retained for 120 days on the Zoom platform. After 120 days, recordings will be placed in the meeting host’s Trash for an additional 30 days. Once the 30-day Trash countdown expires, the recordings will be permanently deleted.
- All Zoom recordings will be transferred automatically to Kaltura storage upon creation and can also be accessed using Kaltura My Media and Moodle.
- Users are responsible for deleting their Zoom recordings from Kaltura’s storage once they are no longer needed.
