Elon Club Sports Policy
This policy can be updated an revised at any time during the semester. If there are updates that affect sports teams directly, all parties involved will be notified. This policy will be added to Fusion and will be distributed to all coaches.
Club Sport Athletic Training Clinic Hours 2025-2026
The club sports athletic trainer manages a fully functional rehab clinic in the Campus Recreation Department. These services are complimentary to club sport athletes and performing arts students. Due to meetings and other obligations these hours and days may change weekly.
- Monday: 1:00 p.m. – 4:00 p.m.
- Tuesday: 1:00 p.m. – 4:00 p.m.
- Wednesday: No Clinic Hours
- Thursday: 1:00 p.m. – 4:00 p.m.
- Friday: 1:00 p.m. – 4:00 p.m.

Defining Club Sport Assistant Role (Student Staff)
- They manage the field and uphold Elon University policies
- Assist the athletic trainer with injury reports
- Assist the athletic trainer in the event of an emergency
- They uphold athletic training policy regarding concussion/injury participation at practices and games
Risk Categories for Club Sports
- High Risk sports require an athletic trainer at all home events.
- Ice Hockey
- Men’s and Women’s Rugby
- Men’s and Women’s Lacrosse
- Men’s and Women’s Soccer
- Moderate Risk sports can request an athletic trainer for a home event, and provisions will be made in case the Club Sports Athletic Trainer is not available. Compensation for a PRN Athletic Trainer will be the responsibility of the club. Examples of these sports are below:
- Men’s and Women’s Volleyball
- Baseball and Softball
- Ultimate and Field Hockey
- Men’s and Women’s Basketball
- Low Risk sports do not necessarily need the presence of an athletic trainer. However, they need safety officers on their teams. They may also request an athletic trainer, with compensation, being the responsibility of the club.
- Swimming
- Raquetball
- Golf
Game Requests
Game times must abide by the 12-hour rule. No game is to begin within 12-hrs of the athletic trainer’s last covered event. Club sports administration reserves the right to deny your request or to ask for it to be rescheduled.
Hiring PRN Athletic Trainer
If the Club Sport Athletic Trainer is unavailable during a high-risk home game, an effort will be made to hire an athletic trainer to fill the role. It is imperative that you solidify your game schedule so we can provide coverage.
- The club in question will be responsible for paying the replacement athletic trainer if they decide to still host the game.
- The rate is $40.00 per hour. This includes 30 minutes before the start of the game, the game itself, and 30 minutes after.
Special Note for Rugby
Due to the number of players on the field at one time during 15s season, we have made changes to coverage requirements.
- Rugby 15s home games we are requiring 2 athletic trainers.
- The responsibility to pay the $40 per hour rate to the second athletic trainer is the responsibility of the club.
Home Tournaments
- Preparation for tournaments must begin months in advance to coordinate appropriate staff, supplies, and game day operations.
- For appropriate safety during the event, the requirement is 1 athletic trainer for every 3 teams. Example 9 teams require 3 athletic trainers to be on site for appropriate and safe coverage.
- The rate for any PRN athletic trainer is $40.00 per hour. This will be the club’s responsibility to pay.
- Visiting teams must provide supplies if they would like to receive any preventative treatment such as wrapping and taping.
Concussion Protocol
If you have sustained a concussion during practice, a home game, or an away game, it is imperative that you report to the athletic trainer as soon as possible. If you do, then concussion protocol can begin as early as possible, which can return you to participation sooner.

- If you have a concussion, you cannot participate in any sporting practice, tryout, or game until you have completed our 6-step protocol.
- If you have a concussion, you are not to work out in the gym or perform any strenuous exercise until you have been given clearance by your athletic trainer.
- You will be listed as “Not Cleared” or “Unfit to Participate” and will be marked in red until the Club Sport Assistants are notified of the change.
- During your protocol you will be allowed to participate in non-contact practices. This will only happen if you have an email from the athletic trainer stating that you can do as such.
- Club sports assistants are following our policy if you are denied access to the field.
- Concussion clearance will only be handled by the Elon Campus Recreation Club Sport and Performing Arts Athletic Trainer or the Supervising Physician from Cone Health Sports Medicine. If you have a concussion that rendered you unconscious, you will have to see our supervising physician in the clinic for further testing and clearance.
Injury Return to Play
If you have a season ending injury you will be marked as “Not Cleared or “Unfit” and will be marked in red.
- If you are rehabbing an injury with the Club Sports Athletic Trainer, they will be keeping up with your progress and status.
- Any follow-up appointments with an orthopedic physician will need to be forwarded to the athletic trainer. Or uploaded to our Electronic Medical Records (EMR) portal Healthy Roster.
- If you are being seen by another physical therapist and physician, I need all paperwork from follow ups and a return to sports participation note before your status can be updated to “Cleared” or “Fit for Participation” and you are changed back to green.
- Until these documents are provided to the Club Sports Athletic Trainer you will be listed as “Not Cleared” and will not be allowed to participate in practice or games.
- The Club Sports and Performing Arts Athletic Trainer reserves the right to keep any athlete out of participation even with all these documents if they do not deem the athlete ready to participate.
Coaches Note
- Coaches will be notified of injuries that may affect the status of a player in a weekly injury report compiled by the Club Sports Athletic Trainer.
- It is the coach’s responsibility to recognize potential injury and report this to either the onsite medical staff or club sport assistants so an injury report can be recorded.
- Injury reports get sent to the Club Sports Athletic Trainer and to Ivie Shelton Assistant Director of Sports Programs.
Dr. Hudnall Appointments/Clearance
Our Supervising Physician, Dr. Hudnall, practices out of the Cone Health Sports Medicine Clinic in Greensboro.
- Monthly appointment visits for any students who do not have the means to travel. These are complimentary.
- Quick turnaround for any Club Sport athletes that need to be seen in the clinic.
- Telehealth appointments are also going to be available this year.
Accepted Clearance Notes
- Return to participation notes are to be signed and stamped by the practice in question. They can also be faxed directly to the Club Sports Athletic Trainer.
- Return to participation notes will not be accepted if the health care provider is a family member or a family friend.
- Return to participation notes will not be accepted if the signing healthcare provider does not operate within that field or discipline.
- Return to participation note acceptance is at the discretion of the Club Sports and Performing Arts Athletic Trainer and the Supervising Physician.

- Travel kits for away games are provided with advanced notice. A club requesting the kit must sign out a bag and return it when the competition is over. Supplies are below:
