Winter Term 2012 Study Abroad
Online Application and Information

The 2012 winter term study abroad application will be online starting March 10, 2011.  If you have any technical problems, please email studyabroad@elon.edu with “WT Online Application” in the subject header. Emails will be responded to as soon as possible.

Please carefully read the information below before beginning an application in the online application system.

IMPORTANT 2011 DATES for WT 2012 programs:

  • March 10-17: Priority application period
  • March 10-Sept. 1: Scholarship applications accepted
  • Starting April 1: Notifications sent via email
  • Sept. 8: WT 2012 deposit refund deadline
  • Early Sept.: Date all WT student passport copies are due to the WT leaders.
  • Sept. 29: WT 2012 full payment deadline

Application

By submitting a Winter Term study abroad application you have begun a process that is one of the most rewarding experiences you will have during your time at Elon University. In order to make the process as efficient as possible, you must read the instructions below. You may only submit an application for one program.

Application Timeline

  • Applications for the priority application period will be accepted March 10-17, 2011.
  • Applications submitted after the priority application period will be considered on a space-available basis. 
  • Freshmen and Transfers can begin applying for WT programs starting the first day of class of the fall semester.
  • The application deadline for all WT 2012 is mid-September.

Eligibility

A minimum cumulative GPA of 2.0 is required at the time of application. Students must remain in good academic standing prior to departure in January. It is the student's responsibility to notify the Isabella Cannon International Centre (ICIC) of a change in his or her academic standing. If a student fails to do so, the ICIC reserves the right to dismiss the student from the program.

Students are required to take the 1 credit Fall course associated with the WT Study Abroad program.  Students who will not be on campus for Fall 2011 CANNOT apply for a WT 2012 Study Abroad program.

Some winter term programs may require prior foreign language experience or other prerequisites.  Please BE SURE you have read the entire program-specific webpage for the  program to which you are applying.

Notification

Notification of acceptance will be sent via email the week of April 1 for those applications submitted during the priority application period, and within three weeks of receipt of the completed application for those submitted after the priority application period.

Deposits

A $400 deposit is required for the application to be processed. By completing the application online, you will be required to pay the deposit by credit card. If you have any concerns regarding payment options, please contact the Isabella Cannon International Centre (ICIC). The paid deposit of $400 does not guarantee a space in the program. Deposits are refundable through September 8, 2011.

Deposit Refund

The $400 deposit is refundable for good reason through September 8, 2011. There is no refund of the deposit after September 8, 2011. Requests for a deposit refund must be submitted to this office in writing. The refund form is available at the front desk of the ICIC. Approved refunds will be processed through the Bursar's office on a weekly basis.

Payment Deadline

The bills for Winter Term 2012 will be posted electronically in early to mid September. The submission of an application obligates the applicant to meet the following full payment deadline: total cost MINUS the $400 deposit due by September 29, 2011. Failure to make payment on time may result in cancellation of your application. If you have a winter term loan pending through the financial planning office, you must provide a statement from that office verifying the loan and the date payment is expected.

Cancellation Policy

  • September 8 - final day to have $400 deposit refunded
  • September 29 - full payment deadline
  • Sept. 30-Oct. 14 - 50% refund of program cost*
  • October 15-31 - 25% refund of program cost*
  • As of Nov. 1 - no refund of program cost*

*All students are automatically enrolled in a travel insurance policy through iTravel, an outside insurance provider (www.itravelinsured.com). This policy covers students who must cancel their participation due to serious issues of physical health that occur after September 8 to the student on an immediate family member (parent or grandparent). Travel insurance does not insure against changes in mental health. The insurance also does not cover any other changes in circumstances such as disciplinary or academic status; job, internship, graduate school or theatrical performance opportunities; leadership opportunities on campus; fear; other personal issues. Students who must cancel their participation after September 8 may be able to seek a refund through the travel insurance company.

If airline bookings have already been made by the time of a student’s cancellation, some airlines may issue the student a voucher for the value of the ticket less some penalty fee for change in ticketing. These are usually valid for 12 months with the airline issuing the ticket. The airline can provide specific details.

Passport

A copy of your valid passport will be due to the WT leaders in early September 2011. Faxed copies will not be accepted. If you do not have a passport, you need to apply for one immediately. If you currently have a passport, check its expiration date to make sure it is valid until at least August 2012. Information for securing or renewing a US passport is available from the US Department of State website

Scholarships/Travel Grants

The ICIC need-based scholarships are available for winter term study abroad students. Multiple awards are given out in amounts up to $1,000. Applications are available on the Funding for Study Abroad page.

Scholarship applications will be accepted March 10-September 1, 2011. Students will be notified prior to the September 8, 2011 deposit refund deadline.

If you qualify for a travel grant through any of the fellows or scholars programs, see the appropriate program director for the travel grant agreement form so a travel grant may be applied to your study abroad program.  Visit the Deadlines and Events Calendar for travel grant deadlines. 

Pre-departure Class

Students enrolled in WT study abroad programs are rquired to take the 1 credit Fall course associated with the WT Study Abroad program. Students who will not be on campus for Fall 2011 CANNOT apply for a WT 2012 Study Abroad program. Information on the dates, times, and locations of these meetings can be found on the individual WT program webpage, on OnTrack, or by contacting the professor of the course.

Communication

Further information regarding Winter Term study abroad programs, including additional paperwork, orientation dates and general communication, will be sent to your Elon email address. Please make sure to respond to all communication as necessary in a timely manner.
