Request of Student Conduct Records for Organization Membership, Study Abroad/Away, Scholarship, Leadership Position, etc.

Elon University student leadership positions, certain experiences (such as study abroad/away), and some scholarships may require that applicants/ participants release their Student Conduct record (sometimes referred to as "disciplinary records" or "disciplinary history").  Students must give permission for records to be released (except as provided by FERPA). 

Please direct all requests for Student Conduct records via email to studentconduct@elon.edu.  Requests should include the following information:

1. Type of request (see below)

2. Release of information statement included in the student application, contract, etc. (this may be embedded in the body of the email or attached as a separate document)

3.Excel spreadsheet with the last name, first name, and university ID number for each student for whom there is a record request

Release of student conduct records to university faculty and staff generally falls into one of three categories:

1. Verification of university eligibility to hold leadership position/study abroad:  Release will indicate yes/no. Typically takes 2-3 business days to process. 

Students sanctioned with suspension in abeyance or disciplinary suspension lose the privilege of participating in Study Abroad and Study Away programs for one year (from date of incident). All deposits or payments will be forfeited without reimbursement. Students also lose the right to hold a leadership position for one year (from date of incident) for any student club/organization or university program. Certain organizations may require that student leaders be in good standing.

2.Verification of good standing:  Release will indicate yes/no. Typically takes 3-5 business days to process.

Within the University, students and student organizations are not considered to be in “good standing” while they are on disciplinary probation or a higher status level and/or have outstanding sanctions.

3.Verification of good standing and reason:  Release will indicate yes/no.  For students not in good standing, report will list if student is currently on disciplinary probation or higher status level (and end date) and/or if the student has outstanding sanctions. Typically takes 3-5 business days to process.

Release of all student conduct history for an individual student is typically only permitted when there is a legitimate educational or safety interest as outlined by the Family Educational Rights and Privacy Act.  Please direct questions to Whitney Gregory or Randall Williams.
